October – the Saturday following Thanksgiving Day

CQQ RESPONSIBILITY

  • Fees for the hall are paid by CQQ (maximum $400). Contact the treasurer.
  • Coffee, tea, juice, and if necessary, the cost of the snacks are paid by CQQ. (All invoices must be presented with the request for a refund).
  • Arrive at 8:00 a.m. and leave at 4:00 p.m.

RESPONSIBILITY OF THE HOST GUILD

  • Install the CQQ banner in full view. (It should be given to the host guild at the planning meeting.)
  • Set up at the entrance a reception table and 2 tables for the registrar.
  • Have volunteers at the door to the main hall to verify membership cards and to direct to the registrar those members who have not yet renewed their membership.
  • The volunteers at the door should stamp the hand of each member and have an attendance list.
  • Assemble the quilt rack in order to display the raffle quilt. Arrange a space for the hanging of guild banners.
  • Have a table to display CQQ documents.
  • Recruit vendors and boutiques and arrange a space with tables for their items.
  • Set up tables and chairs for the 10 executive members. A sound system with lectern and microphone is needed. Also a person to be in charge of the system.
  • Hall arrangement: set up tables and chairs in sufficient numbers for 200 members.
  • Set up tables near the entry available to guilds wishing to sell raffle tickets for their group quilts.
  • Organization of ‘Show & Tell’. Prepare a sheet to be placed at the entrance table where members with quilts to show can sign-up. Have a bilingual person to emcee this activity.
  • Request and collect door prizes and install a table to place them at the front of the hall near the executive table.
  • (Optional) Organize demonstrations for lunchtime. Don’t forget to bring your lunch.
  • Prepare a mystery block for members to sew during the meeting. The hosting guild prepares the pattern and instructions and gives the information concerning the fabrics to bring to the AGM. The blocks are made with the fabrics brought by the members. Send all pertinent information to the editor of Le Journal before July 15th.
